Registration Info & Policies

IMPORTANT NOTES:

1. SWIM TEAM REQUIREMENT: If your child can swim completely unassisted across the pool (water safe), they are qualified for the swim team. Clippers is not a swim lesson program, so please know your childs' capabilities. We want everyone to be a part of the Clippers, but when the time is right, so your swimmer will enjoy the sport for many years to come, not be frustrated by it from the start.

2. VOLUNTEERING: IT TAKES A VILLAGE! One parent (or family member/guardian) MUST volunteer at EACH meet their athlete(s) attends. We reserve the right to charge a penelty fee.

VOLUNTEER JOB DESCRIPTIONS

It takes a lot of people to run a swim meet!

Announcer

Emcees the day’s events - makes general announcements, announces the race heats which are on- deck and which are about to begin. This is an assigned position.

Clean-up

Stays after the swim meet to help put away equipment, assists in taking down swim lane ropes, backstroke flags and canopies. We encourage all the swimmers to assist with clean-up of garbage, etc., so you’ll have lots of help. No experience necessary.

Official Finish Judge

Stands at the finish of the race and visually determines the order of finish of the swimmers. Records the finish order on a slip of paper. Trained officials preferred.

Official Stroke & Turn Judge

During a heat, monitors swimmers’ strokes and their turns. If a swimmer is performing an illegal stroke or turn, the S&T Judge is responsible for disqualifying them from the race. This position requires formal training. Please let a board member know if you would be interested in being trained for this position, we are always in need of S&T Judges.

Ribbons

Assists with placing labels of swimmers’ names and finish times on the backs of ribbons during the second half of the meet. Ribbons are awarded to each swimmer for 1st, 2nd, 3rd place and exhibition for each event and relay team for each meet. Ribbons are distributed to the swimmers at the first practice after the meet.

Runner

After the timers record swimmers’ times on a sheet of paper and after the Finish Judge records the finish order of a heat, the Runner is responsible for quickly collecting all the slips of paper and running them to the Timer’s Station. This requires someone who can move quickly and keep the pace of the meet on schedule.

Scorer

Responsible for recording the time of the swimmers after each heat into our computer scoring system. Responsible for final score of the meet.

Set-Up

Assists in putting out the swim lane ropes, hanging backstroke flags and setting up team canopies. This is a great way to get your volunteer duties our of the way early and be able to enjoy the whole meet without any other volunteer responsibilities. No experience necessary.

Starter/Referee

Acts as lead official. Responsible for starting each race heat and overseeing the meet. This position requires training.

Substitute List

Sign up for this if you are willing to help us out wherever we need you. If all positions fill up, we may not need you at all.

Timer

Using a stop-watch, times swimmers at the end of the race. We need one of the timers at each lane who will need to record each of the finish times on a sheet of paper after the race. No experience necessary.

Other Volunteer Opportunities

Please contact a board member if you’re able to help! We need:

Volunteer CoordinatorThe volunteer coordinator is the person(s) who helps the swim team parents meet their volunteer commitments. This person is responsible for talking with parents about job descriptions and helping them find the best fit on the job board for their circumstances. Prior to the meet, this person must make sure all jobs are filled and provide email reminders to the working parents.
(1) Assist fundraising coordinator with sign-ups for fundraising activities, must be available for 90% of meets. (2) They must arrive early for each home meet to facilitate worker check-in and to ensure that all areas are covered. (3) Coordinate yearly training night for parents to learn volunteer positions at meets and what to do at each position.

End of year party Coordinator

Work closely with Club Secretary and Treasurer. Contact Kingston Community Center or other agreed upon location for party reservation, advertise banquet date and set-up a volunteer committee which may include: set-up and cleanup crews, contacting restaurants for catering assistance or parents for pot-luck involvement (this would include sign-up list for all food stuffs), ordering medals for end of season awards, game creator, awards purchaser. Follow-up with volunteers as needed, arrive early to coordinate volunteers and all activities. Work with Volunteer Coordinator to get list of parents to contact for food need, help, etc. Work with secretary in scheduling, location event, etc., for end of party celebration.

SMI Meet Representative / Volunteer Coordinator

(1-2, One parent for each day of event) Serves as contact for invitational. Stay up to date via SMI website as to important deadlines for meet. Recruits and coordinates volunteers for meet, including rovers to backfill in case of absences.

GKAISA City Meet Rep / Volunteer Coordinator

(1-2, One parent for each day of event) Serves as contact for City Meet. Must be present during the entire event, ensure all posts are filled. Stay up-to-date via GKAISA.org website as to important deadlines for meet. Recruits & coordinates volunteers for championship meet, including rovers to backfill in case of absences day of event. Contact parents to order parking passes and t-shirts and collect monies for these items (give collections to treasurer). Order tent for meet, ensure treasurer knows amounts owed for tent, swimmer entry fees, parking passes and t-shirts. Upon receipt of checks from treasurer for aforementioned items, give completed GKAISA forms for passes shirts/ swimmer’s entry fees, and monies to Head Coach before deadline. Distribute parking passes to parents. Picks up/distributes parking passes to parents. Picks up distributes t-shirt orders on each day of meet. Work closely with league rep and program director as needed.

GKAISA Tent Parent

We need a parent each hour or for ½ day shifts to stay in the tent to help keep an eye on swimmers and make sure no swimmer is ever left alone in the tent. We can do shifts, by the hour, etc.
